Position Title: Director of Education - Wilkes-Barre, PA Campus

The Director of Education is responsible for overall operation of the academic department at the school level and ensuring academic integrity within the guidelines of institutional, accreditation, state, and federal policy and regulation. The Director of Education supervises the Associate Director of Education, Registrar, Library/Resource Manager, Evening Supervisor, Program Directors, faculty members, and other academic support staff, and provides guidance to students. The Director of Education also provides leadership for faculty, staff, and students in meeting the academic mission of the school and serves as a member of the Campus Director's management team.

Qualifications:
a. Master's Degree Preferred
b. Previous experience in educational administration.
c. Previous teaching experience and ability to qualify as an Instructor.
d. Excellent interpersonal, organizational, and planning skills.
e. Knowledge regarding assessment and evaluation instruments and their interpretation.
f. Knowledge regarding faculty development.
g. Previous student guidance experience desirable.

Student Services:
a. Coordinate and participate in each term's New Student Orientation Program. Also provide an Orientation Program for re-entering students who have been out of school for more than one quarter.
b. Be accessible to students on a regular basis for questions and/or concerns.
c. Provide student academic advising/counseling as needed in conjunction with Program Directors. Ensure that all probationary students are counseled at least once each term. Assist students to develop problem-solving and decision-making abilities. Provide referrals to outside resources when counseling needs go beyond the scope of the school.
d. Provide instructors and/or peers for tutoring when required.
e. Ensure that accommodations are available for students with disabilities.
f. Chair the Retention Program. Plan, implement, and direct an effective student retention program. Monitor instructors' telephone calls to students absent from class. Review Early Alert forms, mail Excessive Absence Notices, compile and monitor Weekly Retention Report.
g. Chair the Academic Review Committee. Conduct hearings and write letters and reports of findings as outlined in the catalog and handbooks.
h. Interview and resolve student disciplinary problems. Complete and maintain necessary documentation. When required, refer dispute resolution to Academic Review Committee.
i. Coordinate, monitor, and support student organization programs and school-sponsored student activities through faculty sponsors.
j. Supervise publication of school newspapers and newsletters and obtain final approval of Campus Director prior to printing.
k. Monitor the Student Suggestion Box. Provide timely response to any student concerns.
l. Coordinate the annual commencement exercises and related activities. Organize and participate in quarterly Graduate Seminars.
m. Conduct exit interview sessions for graduates and complete all required documentation to be maintained in student file.
n. Interview non-returning students to determine and document cause.
o. Interview re-entering students to determine readiness and dedication to pursuit of academic goals.

Scheduling:
a. Formulate the Master Schedules of Classes for the next quarter and mid-quarter and present to Campus Director for approval no later than the end of the seventh week of the current term.
b. Ensure effectiveness and efficiency of course offerings and the utilization of faculty and facilities by maintaining a minimum overall student-teacher ratio of 25:1.
c. Schedule all full- and part-time faculty members for maximum class loads.
d. Meet with each Instructor individually to discuss teaching assignment, textbooks, course syllabi, and weekly lesson plans at least one month prior to class start.
e. Maintain a Master Teaching Schedule for all Instructors and classes for each term showing instructor names, course times, course numbers and names, dates of term, and locations and sizes of classes.
f. Prepare class rosters; distribute to instructors prior to class start.
g. Supervise quarterly registration of students. With Registrar and Program Directors, schedule new, continuing, and re-entering students. Provide Program Directors with continuing student schedules for the upcoming term no less than three weeks before the end of the current term.
h. Ensure all continuing students receive class schedules for the next term prior to finals for the current term. Provide all new students with their class schedules during the new student orientation.
i. Ensure that all classes are conducted as scheduled. Monitor classroom activities by walking about the hallways and observing daily activities.
j. Prepare the final exam schedule for the end of each grading period and distribute to all faculty and staff.
k. Maintain a file of substitute teachers who may be called to fill in on a temporary basis as needed.
l. Teach up to 3 classes per term depending upon the number of students in school; substitute teach as may be required by an unexpected teacher absence, illness, or emergency.

Instructional Materials, Equipment, and Facilities:
Ensure Instructors' use of appropriate instructional methods, materials, and equipment.
a. Supervise and coordinate the development of all syllabi and lesson plans; maintain a master syllabi file on disk and in hard copy; ensure faculty are following these syllabi and that they are in compliance with all regulations, policies, and continuity of instruction.
b. Conduct ongoing curriculum development: review each program on a regular basis; participate in advisory board meetings; and make recommendations for new/revised programs and instructional materials.
c. Supervise orders of student textbooks and materials and maintain oversight of book inventory.
d. Supervise orders of instructor texts, manuals, answer keys, etc.
e. Maintain an inventory of all equipment by classroom.
f. Maintain an inventory of all library/instructional resources.
g. Review instructional materials and aids on an on-going basis.
h. Pre-approve outside invited classroom speakers. Maintain a record of all guest speakers and topics.
i. Pre-approve student field trips. Maintain a record of all field trip destinations, supervisors, and student release forms.
j. Supervise the Library/Resource Center and its personnel. Approve recommendations for additions to media holdings. Ensure Library/Resource Center provides a reference service for the faculty, staff, and students.
k. Ensure adequacy and maintenance of student and faculty instructional equipment, aids, and supplies.
l. Ensure maintenance and improvements for student classrooms, library/resource center, and student lounge areas through coordination of efforts among administration, students, and custodial staff.
m. Supervise and monitor all classroom bulletin boards.

Academic Administration/Record Keeping:
Ensure integrity of academic record keeping for all active and inactive students so it is consistent with institutional, accreditation, federal and state guidelines and so compliance audits result in zero findings.
a. Oversee the maintenance of accurate academic student files.
b. Oversee the maintenance of accurate student attendance reporting and record keeping systems. Monitor daily attendance sheets.
c. Maintain an accurate student population list in CAMPUSVUE. Process withdrawn and graduating students on a timely basis to ensure compliance with institution, federal, and state guidelines. Audit student records to ensure documentation in file is complete.
d. Ensure Instructors maintain accurate grade books and other records.
e. Collect final grades from all Instructors and supervise the recording of the grades on students' permanent records.
f. Distribute student grade reports to all students within 3 days of the end of the grading period.
g. Maintain an accurate Student Transcript for each matriculating student. Supervise and spot-check the computation of student GPA and CGPA as recorded on the student permanent record.
h. Prepare a list of expected candidates for graduation for the next two terms and distribute to Campus Director and members of the school's management team at the beginning of each quarter.
p. Evaluate student transcripts of prior college work and award appropriate credit.
q. Provide testing of new students for advanced standing, award appropriate credit, and notify students of awards made.
r. Review student academic transcripts on a quarterly basis.
s. Generate CAMPUSVUE reports to track and identify student performance against Satisfactory Academic Progress standards on a quarterly basis. Maintain a record documenting file review of students and actions taken (probation, dismissal, etc.).
t. Prepare and update academic and attendance records in CAMPUSVUE.
u. Create and distribute certificates for Dean's List, Honors, and Perfect Attendance based upon the previous term's grades at the beginning of each quarter.

Publications/Reports:
Ensure accuracy of Faculty Handbook and Student Handbook.
b. Ensure accuracy of academic information in school catalog.
c. Ensure accuracy of information and grading legends on academic transcript form and that they are an exact match to the catalog.
d. Provide academic information for preparation of annual accrediting, federal (IPEDS), state licensure, and agency reports.
e. Assist in preparation of Institutional Self-Studies for accrediting and approving bodies.
f. Assist in preparation of program approval and revision materials for accrediting and approving bodies.
g. Assist in preparation of the Institutional Effectiveness Plan (IEP) and its Annual Summary Report. Complete annual student school satisfaction surveys and student evaluations of Instructors twice a year, tally data, and provide data for inclusion in IEP. Also review evaluations with instructors and maintain results in instructor personnel files.
h. Generate CAMPUSVUE reports to prepare monthly Population Report. Retain back-up documentation of starts, re-entries, withdrawals, dismissals, graduates, leaves, etc. Distribute to Campus Director and members of campus management team.
i. Forward Reports to Corporate and applicable agencies in a timely manner and ensure deadlines are met.

Management/Oversight/Professional Development/Training:
a. Hire, train, supervise, evaluate, retain, and terminate a qualified faculty and staff in accordance with institution, state, accrediting, and other regulatory and policy guidelines.
b. Supervise the Associate Director of Education, Registrar, Library/Resource Manager, Evening Supervisor, Program Directors, faculty members, and academic support staff.
c. Provide four quarterly in-service training programs for day and evening faculty members each year. Publish a yearly in-service training calendar of dates, training topics, and speakers. Maintain a record of each in-service session including agenda, attendance, and written comments and evaluations from instructors.
d. Supervise and maintain records of faculty professional development activities including annual Professional Development Plans and annual Professional Development Summary Reports. Assist faculty members to prepare meaningful and appropriate Professional Development Plans. Collect documentation of professional development activities from faculty quarterly and ensure submission of appropriate documentation.
e. Conduct pre-service orientation programs for all new Instructors prior to the start of each term. Include information on school mission and goals, expectations of employees, use of master syllabi, and proper methods of record keeping such as attendance, grading, counseling forms, lesson plans, start-of-term procedures, and end-of-term submissions. Provide each new Instructor with a mentor during the first term of employment.
f. Provide payroll input data for all departmental employees. Prepare personnel status change forms for new hires, terminations, and salary/status changes.
g. Maintain current personal knowledge of federal, state, and institutional regulations in providing support to academic personnel.
h. Maintain regular office hours including evening hours each week to ensure consistency between day and evening policies, procedures, and instruction.
i. Participate in professional development and in-service activities.
j. Adhere to the Employee Handbook, Faculty Handbook, Catalog, and other school policy and procedures and any amendments thereto.
k. Assist the Campus Director with preparation of the annual budget for operation of the academic department on a sound fiscal basis.
l. Perform other duties and responsibilities as assigned by Campus Director.

Communication/Decision-Making:
b. Hold regular meetings with academic faculty and staff to set monthly/quarterly goals within the academic department. Prepare and maintain minutes of these meetings including agenda and attendance.
c. Provide annual job performance reviews for instructors and academic staff members and feedback regarding accomplishments, future skill sets needed, and accomplishment of professional development plans; maintain copies of evaluations in personnel files.
d. Visit, observe, and evaluate new instructors' performance during the first three weeks of class and complete a written evaluation followed by a discussion of the evaluation with the Instructor; maintain copies of evaluations in personnel files.
e. Visit, observe, and evaluate all continuing instructors' (both full- and part-time) performance once per year followed by a discussion of the evaluation with the instructor; maintain copies of evaluations in personnel files. Observe and evaluate more frequently if warranted.
f. Conduct on-going faculty coaching as indicated by evaluation results.
g. Maintain complete and accurate faculty personnel files including official transcripts for all colleges and training programs attended, certifications earned, employment application, state/accrediting agency applications, job description, faculty development plan and summary report, in-service programs attended, instructional observations and evaluations, student evaluation summaries, annual performance reviews, and other hiring records.
h. Establish and maintain contact with other educational institutions to encourage articulation for the benefit of students and graduates.
i. Provide coordination with Campus Director and peer managers including Director of Admissions, Financial Aid Director, Career Services Director, etc., and their staffs on interdepartmental matters.
j. Act as a liaison between faculty and Campus Director and between students and Campus Director.
k. Ensure timely follow-up and review for any delegated duties.
l. Instill a sense of team workmanship among departmental staff.
m. Provide reports to Campus Director regarding goal setting and achievement of goals.
n. Serve as a member of the Campus Director's management team.
